How to make a task list in Google Sheets—and when to move beyond it

A spreadsheet is familiar and flexible when a small list needs sorting or sharing. You can begin with four clear columns, no elaborate template required. When the list becomes a project with stages, reminders, and recurring ownership, compare your needs with a dedicated task app before moving the work.

Start with a few columns

Use Task, Owner, Due Date, and Status. Add Project only when tasks belong to different outcomes. Write a specific action in each row, such as “review the draft,” rather than a broad topic like “content.” Keep status options simple: Not started, In progress, Waiting, Done. Sharing and alerts in Google Sheets depend on that service’s own settings; this page cannot configure them for you.

If no real deadline exists, do not invent one. Record the dependency or person you are waiting on.

When does a sheet become cumbersome?

If you need Calendar and reminders, or want to see “what is next today?” without manually filtering rows, a dedicated tool may help. When should you stay in Sheets?

Stay with your sheet if the list is short, manual sorting and sharing are enough, and you need nothing more. Moving data for novelty alone adds work. If you do switch, start with one project and its active tasks, and keep the spreadsheet archive until the new workflow proves useful. We do not claim automatic Google Sheets import into Task.

Can I import my sheet directly?

The current product guide does not describe a direct Sheets import. Add the necessary tasks through supported app features; do not assume an import exists.
